Entering Daily Sales into Intuit Enterprise Suite

1. Purpose

This SOP provides standardized procedures for entering daily retail sales data from the Dutchie POS Closing Report into the Intuit Enterprise Suite (QuickBooks Online).

⚠️ Entry must occur within 24 hours of the business day.
Core Objectives:
  1. Record daily sales into the correct QB company account within 24 hours
  2. Accurately break down revenue by payment method (cash, debit, credit)
  3. Record sales tax collected as a separate line item
  4. Ensure entity-specific category routing per Section 8.7
  5. Maintain a clean audit trail linking Dutchie to QB

For RRCo-KBR (K Beach): Select "KBR Retail" in the QB company selector.
8.1 Gathering Source Documents

Before entering, you need:

  1. Dutchie Closing Report for the business date
  2. Daily Cash Count Form (verified and signed)
  3. Any variance notes from shift reconciliation
8.2 Navigating to the Correct Company Account
  1. Log in to Intuit Enterprise Suite
  2. Click company selector (top left)
  3. Select the correct company per the mapping above
  4. Verify you see the correct company name in the header

8.3 Creating the Entry

  1. Navigate to: + New → Sales Receipt
  2. Set the date to the business date (not entry date)
  3. Customer field: Leave blank or use "Daily Sales"

8.4 Entering Payment Method Breakdown

From the Dutchie Closing Report, enter separate line items:

Note: Each location has its own revenue categories. Use location-specific categories.
8.5 Entering Sales Tax

Add a separate line for sales tax collected:

⚠️ Do NOT include sales tax in the revenue lines. It's a liability, not revenue.

RRCo-KBR (K Beach)3% (KPB Code 99 only)

Anchorage stores5% (MOA)
8.6 Verifying & Saving the Entry

Before saving, verify:

  • Company account is correct
  • Date is business date (not entry date)
  • Cash + Debit + Credit = Gross Revenue on Dutchie
  • Sales Tax = Tax amount on Dutchie
  • Total = Total from Dutchie Closing Report
Click "Save and Close" only after all checks pass.
